Lock a PDF with a password on your phone before you email or share it. Simple steps, how to choose a password, and what to do if you forget it.
Free tool for this guide Protect PDF → Lock a PDF with a password before you send it.Some documents should not be readable by just anyone who gets hold of the file: a bank statement, an ID scan, a contract, a medical report, a salary slip. Email can be forwarded, messaging apps keep copies, and a phone can be lost. A password on the PDF itself adds a layer of protection that travels with the file wherever it goes.
This guide shows how to add a password to a PDF on your phone in a couple of minutes, how to choose a good one, and what to do about the password afterwards.
What you need
- The PDF on your phone or computer
- A password you can remember or store safely
- A minute or two
Step 1: Open Protect PDF and choose the file
Open the Protect PDF tool, tap the box and choose your file. The protection is added on your own device, inside your browser. The file and the password are not uploaded anywhere.
Step 2: Choose a password
Type the password twice, so that a typing mistake cannot lock you out. A small hint under the first box tells you if the password is weak. Tap the eye button if you want to see what you typed.
A good password is:
- long. Twelve characters or more is a good habit. A short sentence you will remember, with a few extra characters, works better than a short complicated word.
- not guessable. Avoid names, birthdays, phone numbers and common words such as “password” or “123456”.
- not reused. If you use the same password for your email, the PDF is only as safe as that email.
Step 3: Tap Protect with password
The tool locks the file with AES-256 encryption, a strong and widely used standard, and gives you a new file. Download it, and check that it asks for the password: open it once, enter the password, and make sure the pages appear.
Your original file is not changed. Keep it if you still need an unprotected copy.
Sending the file and the password safely
The password only helps if it does not travel together with the file.
- Send the protected PDF by email or messaging app, as usual.
- Send the password separately, ideally in a different channel: a phone call, a text message or a different app.
- Tell the receiver which file the password belongs to, without writing the password next to the file name.
What if you forget the password?
This is the one real risk, and it is important to understand it. A password-protected PDF cannot be opened without the password. We do not see your password, we do not store it and we cannot reset it. No honest tool can open a properly protected file for you.
So before you protect anything you cannot easily recreate:
- keep the password in a password manager or write it down and store it in a safe place
- keep an unprotected copy of the original in a place only you can reach
Taking the password off again
If you know the password and want a plain copy later, for example to merge the file with others, use the Unlock PDF tool. It removes a password only when you type the correct current one. It cannot guess or break passwords, and it will not try. If a file has no password but only restrictions such as “no printing”, the tool tells you so and leaves them alone.
Good to know
A password protects the contents of the file. It does not hide that the file exists, and it does not stop someone who knows the password from sharing the file onwards. For documents that need a visible mark instead, such as a draft or a confidential stamp, the Watermark PDF tool is the right choice, and you can use both together.
Very old PDF readers may not support the newest encryption. If a receiver cannot open the file, ask which app they use. Current phones, browsers and PDF apps handle it without trouble.
Is it really private?
Many online tools upload your file to a server to lock it. Here the locking runs inside your browser, on your own device. You can read more about how that works in Is it safe to use online PDF tools?.
A short checklist
- Choose a long, unique password.
- Protect the PDF and open the result once to test it.
- Send the file and the password in two separate messages.
- Keep the password and an unprotected original safe.
A minute of care now can keep a sensitive document out of the wrong hands.
Try it now
Lock a PDF so that only people with the password can open it. The locking happens on your device. Your files never leave your device.
